Invitations
An invitation is a request to join a team. In everyday life it is like an email that says “please come to our office.” In CROForge it is how Owners and Admins add collaborators to a workspace. The invitee opens a link at /invite, signs in or registers, and accepts. After that they can see that workspace’s experiments, Data Vista objects, events, and websites according to the role they were given.
Words used on this page
| Word | Everyday meaning | Meaning in CROForge |
|---|---|---|
| Invitation | A request asking someone to join a group. | A workspace invite sent by email or link. The invitee accepts it at /invite after login or registration. |
| Invitee | The person who was asked to join. | The teammate who receives the CROForge invite and must open the link with the invited email address. |
| Collaborator | Someone who works with you on a shared project. | A user who has accepted an invitation and now belongs to the workspace. |
| Workspace | A team’s private work area. | The isolated container you are inviting someone into. Experiments and data do not leak across workspaces. |
| Owner | The person who owns the space and has final say. | The highest workspace role. Owners can invite users. Owner is usually not assignable through the invite form. |
| Admin | A trusted manager. | A role that can invite and manage users, experiments, and configuration. Admins send most day-to-day invites. |
| Member | A regular teammate without management duties. | A role that can create and edit experiments and Data Vista objects within policy. Members cannot send invitations. |
| Role | A job title that unlocks certain permissions. | Chosen on the invite: Admin or Member. Permissions decide who can invite, change settings, or only work on experiments. |
| Permission | What you are allowed to do. | The set of actions a role unlocks inside a workspace (invite users, edit settings, create experiments, and so on). |
| The address used to reach someone. | The identity the invitation is tied to. The invitee should register or log in with that same address. | |
| Invite URL / invite link | A web address that opens the invitation. | Opens /invite. Treat it like a ticket: do not post it publicly. |
| Invite token | A hidden ticket inside the link that proves the invite is genuine. | Used when the invitee registers so the new account joins the correct workspace. |
| Register | Signing up for the first time. | Create an account on the way to accepting an invite if the invitee is new to CROForge. |
| Login | Signing in with an existing account. | Required if the invitee already has a CROForge account. Then they accept and gain the workspace. |
| Settings → Users | The staff list for the team. | Where Owners and Admins enter an email, pick a role, and send the invitation. |
| Workspace selector | A switcher for “which office am I in?” | If the person is already a member of more than one workspace, they switch here instead of accepting a duplicate invite. |

How invitations work
Only Owners and Admins can invite people into a workspace. Members cannot. You pick the person’s email and a role of Admin or Member. Owner is usually not assignable via invite, because ownership is a special full-control role created when the workspace is created (or transferred by an existing Owner, not by a routine invite).
The invitee opens the link, proves who they are (login or register), and accepts. CROForge then adds them to that workspace only. They do not automatically join your other workspaces.
Invite someone (Owner or Admin)
- Open Settings → Users.
- Enter the person’s email and choose a role: Admin or Member. Owner is usually not assignable via invite.
- Send the invitation.
- The invitee receives an email and/or link. Ask them to open it soon so the link does not expire.
Choose Admin when the person should invite others and manage configuration. Choose Member when they should run experiments and Data Vista work without managing the user list. Exact permission details are in Roles and permissions.
Accept an invitation (invitee)
- Open the invite URL. It lands on
/invite. - Log in or register with the invited email address. Using a different email will not match the invitation.
- Accept. You gain access to that workspace with the role the sender chose.
Register or log in with the exact invited email. The invitation is tied to that address, not to “whoever opens the link with any account.”
Troubleshooting
| Issue | What it means | What to try |
|---|---|---|
| Link expired | The invite ticket is no longer valid. | Ask an Owner or Admin to resend the invitation from Settings → Users. |
| Wrong email | You signed up with a different address than the one on the invite. | Register or log in with the invited address, or ask for a new invite to the address you actually use. |
| Already a member | You already belong to that workspace. | Switch to it with the workspace selector instead of accepting again. |
